Approval is required prior to using barcode shipping labels

 

 


Introduction

 

Speed and quality are two key strategies for Agilent Technologies to remain a world-class company. The barcode labeling of material received from suppliers is necessary to achieve requisite levels of speed and quality in our receiving and accounts payable transactions.  This document details the specifications and approval requirements necessary to implement Agilent Technologies barcode receiving label.

 

The importance of quality barcode shipping labels cannot be overstated. Strict adherence to the specifications will reduce implementation costs and increase benefits for our suppliers and Agilent Technologies. Agilent Technologies will be requiring that our suppliers institute barcode receiving labels beginning 06/2/03.   We expect that our suppliers will have procedures in place to ensure the quality of these labels, just as with any product supplied to Agilent Technologies.

 

Key Specifications

 

Do’s

·        Use code 128 alphanumeric barcode symbology.

·        Agilent Technologies must approve in writing the barcode label format prior to using on shipments.

·        Data Field Identifiers (DFI) must be used with the barcode as identified in data field specification as indicated by the attached sample at the end of this document.

·        Remarks may be entered at the bottom of the label.

·        A single point of contact at the Supplier must be designated.  The contact will handle all barcode related problems.

·        Label size should follow the standard 3”X5”. If necessary, the Supplier can vary the standard label size as long as the design layout remains the same, all required information is included, and label is pre-approved in writing by Agilent Technologies.

·        The Packing Slip will still be required with each shipment.

·        Each barcode field on the label shall be accompanied by the human readable interpretation and formatted as indicated by the attached sample at the end of this document.

·        The label should meet the ANSI MH10.8 standard.

 

Don’ts

·        Use any other barcoding symbology (ie code 39, UCC/EAN-128). 

·        Use any of these four characters, $, /, +, and, % when identifying the parts on the label.

·        Allow for any data errors on the barcode labels.

·        Eliminate Packing Slips.

 

Labeling Requirements

 

The barcode receiving label shall be permanently attached to the exterior of each box shipped.  If multiple boxes are consolidated into one shipment there should be no barcode label on the outside box but all internal boxes should include the barcode label. In addition, if there are multiple boxes for one item the box count field must be populated on the label.

 

Label Size: The standard label size should be 3 inches high by 5 inches wide.  If necessary, the label size may vary with prior written approval by Agilent Technologies.

 

Label Material: The label material/paper shall be white in color with black text and printed with ink that does not smear if the label were to get wet.

 

Irregularly Shaped Containers: Containers that are irregularly shaped, are cylindrical in nature or have no flat plane surface shall still have the label applied to the material.

 

Label Detail: The data areas should be separated by horizontal thin lines and should contain their respective titles in the upper left-hand corner of the data block.  The data identifier must be included in the scanable field.  See attached diagram.

 

Label Field Characteristics

           

Purchase Order Number: Human Readable Barcode Required

Data Field Identifier (K) represents the purchase order number.

 

Release: Human Readable Barcode Required

Data Identifier (5K) is the release number. The release number is tied to the Blanket Purchase Agreement (BPA).

 

Item Number: Human Readable Barcode Required

Data Identifier (P) is the Agilent part number, which is found on the Agilent Technologies Purchase Order.  This number must appear exactly as it appears on the Purchase Order.

 

Advanced Shipment Notice (ASN): Human Readable Barcode Required

Data Identifier (2S) is the ASN number that identifies and verifies shipments. The ASN is an optional field to be populated. The supplier is not required to supply the ASN field but must keep the ASN field on the label.

 

Packing List Number: Human Readable Barcode Required

The supplier provides the Packing List Number.

 

Date: Human Readable Form ONLY

The date on the label should be printed to represent the date shipped.

 

Number of Boxes: Human Readable Form ONLY

The box field is used to identify the number of boxes, containers or packages in a shipment. The individual label should have the “01 of XX ” designation.  Examples: (Box 01 of 01) or (Box 02 of 15).

 

Supplier Address: Human Readable Form ONLY

The supplier address should be printed in this field.

 

Quantity in Box: Human Readable Barcode Required

Data Identifier (Q) is the Quantity in the box. The quantity on the label identifies the total quantity in the shipment for a particular item. Quantities listed must be whole numbers only (i.e. 200 not 200.00).

 

Country of Origin: Human Readable Barcode Required

Data Identifier (4L) is the Suppliers Country of Origin.

 

Comments

The space at the bottom of label may be used for remarks/comments that the Supplier deems necessary.

 

SUPPLIER RESPONSIBILITY

 

It is the responsibility of the supplier to provide barcode labels that meet all of the specifications listed in this document.  The supplier shall be responsible for verifying the accuracy of the label and ensuring that the data is current and correct.  Prior to implementation, the supplier shall submit label samples for approval.  Strict adherence to these specifications will reduce implementation costs and increase benefits for our suppliers and Agilent Technologies.


APPROVAL PROCESS

 

The process to follow for approval of barcode labels:

 

1. Supplier completes request for barcode receiving label approval (below) form and submits a sample label using actual order data to Agilent Technologies.

 

2. Agilent Technologies will review the sample labels and provide approval or areas for correction.

 

3. Before supplier can begin shipping parts with the barcode receiving label, supplier must receive written approval by Agilent Technologies.
